Duties of Exam Cell

The Examination Cell coordinates and conducts Internal Examinations as well as Bharathiar University Examinations.

Internal Examinations

  • The time table for continuous internal test is prepared by the exam cell and distributed to the departments
  • The booklets are printed and distributed to the classes before the commencement of the internal test
  • The question papers are prepared and required copies are made for each class and it is distributed to the departments by the exam cell.
  • The duration for entering the marks in the e-campus is given to the departments and exam cell ensures that the marks are entered.
  • The progress report showing the details of the marks and attendance secured by the student are sent to their parents within ten days from the commencement of the examinations.
  • The final internal marks secured by the students are finalized by the exam cell and sent to the University.

Counseling

The students who did not perform well in the internal examinations are called for counseling and motivating and supporting them to pass and to get good marks.

I Year Students Database

  • Once the admission is over, I year students database is prepared in the stipulated format given by University for getting the register number for I year students.

Details of Students Re-Admitted / Lateral Entry/ Transfer

  • The details of the students who got re-admitted or who joined in the II year under lateral entry are also given to University for getting register number for these students.
  • The details of the students who got re-admitted or who joined in the II year under lateral entry are also given to University for getting register number for these students.
  • Required exemptions for the papers being studied by the students in their previous colleges are sent to University, followed and got by the exam cell.

Exam Fee

  • A Circular sent to the student mentioning last date for payment of examfees with and without fine.
  • A list is prepared showing the details of the exam fees paid by each student and sent to University along with the course wise DD for the exam fees payable to University.

Board Practical Examination

  • Practical papers received from University are arranged code wise.
  • Exam cell maintains a stock register on how many booklets received from University and how many are used and the balance booklets available.
  • Hall tickets received from the University are issued to the students.
  • Nominal roll sent by University is verified with the exam software to check the eligible students' list.
  • The external examiners list received from University will be followed by the cell and in case of decline of duty by the external examiner, the cell contacts the University and ensures that and external examiner is appointed before the stipulated date.
  • On the examination date, the booklets, question papers received from University, attendance sheet, cover for packing the answer sheets and statement of marks, claim forms, mark entry forms are given to the concerned departments.
  • The departments will hand over all the above to the exam cell at the end of the each session after the examination is over.
  • Exam Cell maintains a file for staffs who comes from other colleges as externals and staffs who serves as internal examiners.
  • At the end of the Practical examinations of all the classes / courses, the answer booklets, mark statements are sent to University.

Board Theory Examination

  • Papers received from University are arranged code wise.
  • Exam cell maintains a stock register on how many booklets received from University and how many are used and the balance booklets available.
  • Hall plan and seating arrangement for the respective exam is prepared by the exam cell.
  • The register numbers of the students are written in the respective desks according to the seating arrangement and hall plan.
  • Nominal roll sent by University is verified with the exam software to check the eligible candidate list.
  • Hall tickets are issued to the eligible students after ensuring that their photographs are pasted and it carries the required seals.
  • Attendance sheet is prepared by the exam cell hall wise and collected from the concerned hall within half an hour from the commencement of the examination on the exam date.
  • Exam Cell maintains a file for staffs who comes from other colleges as an external and staffs who goes as external examiners to other colleges.
  • Arranging the answer sheet class wise after completion of examination and bundling the booklets in the respective covers and the covers will be packed and sealed.
  • The answer sheets will be sent to the University on the respective dates given by University.

Duplicate Hall Ticket

  • Duplicate hall ticket is issued to the student by paying requisition fee in the office.

Revaluation

  • Revaluation form is issued to the students from the exam cell.
  • Filled revaluation form and the DD is sent to University from exam cell.
  • If there are changes in the marks after revaluation, the previous mark sheet along with the revaluation result is sent to the University for getting and updated mark sheet.

Issuing Marksheet

  • Checking the mark sheet department wise from the list received from University.
  • Arranging the mark sheet received from University register number wise and writing the marks in the consolidated mark register maintained in the exam cell.
  • Updating the marks in the e-campus.
  • Issuing the mark sheets to the concerned department. The departments will issue the mark sheets to the students after getting their signature in the consolidated mark register.
  • Remaining mark sheets that is available in the department is collected by the exam cell and arranged in an order.
  • Mark sheets of the outgone students are issued by the exam cell.

Duplicate Marksheet

  • Form for applying duplicate mark sheets is issued to the student.
  • Filled in form by the student is sent to University by paying requisition fee to UNIVERSITY by DD.

Consolidated Statement Of Marks and Provisional Certificate

  • After receiving provisional certificate from the University, the students are informed for collecting it.
  • Provisional certificate is issued to the student from the exam cell.

Degree Certificate

  • After receiving the Provisional certificate, the convocation form is filled by the students and exam cell checks and sends it to University for receiving the degree certificate.
  • Once the degree certificates are ready in the University, Graduation day is organized for the distribution of the degree certificates.

Malpractice

  • The exam cell ensures that MALPRACTICE of any sort do not happen in the college.

Grading:

Once the marks of the CIA and end semester examinations for each of the course are available, they will be added. The mark thus obtained will then be graded as per details given below:
