Code of Conduct

Kg College of Arts and Science is a UGC-approved autonomous college affiliated to Bharathiar University. The college is an ISO 9001:2015-certified institution and has also been accredited by the National Assessment and Accreditation Council (NAAC) with an A++ grade in the second cycle of accreditation in 2022. The college aspires to provide a structural foundation distinguished by academic excellence, integrity, accountability and inclusiveness.

Code of Conduct for Governing Body

The governing body of the college sits at the top of the hierarchy with the responsibility of implementing crucial decisions, reflecting effective management and promising a safer future for the institution. The functioning of the governing body follows the following guidelines:

Focus on working on the college vision, along with meeting the interests of stakeholders

Overall monitoring of the institutional performance, ensuring quality arrangements

Ensuring transparency and smooth functioning in all aspects of the institution

Work closely with IQAC to support institutions’ quality initiatives

Compliance check on statutes, ordinances and provisions regulating the institution, including regulations by Statutory bodies, such as UGC, as well as regulations laid out by the State government and affiliating university

Code of Conduct for the Principal

The principal is the assigned educational leader of the institution to maintain the mission of the institution in day-to-day activities with:

Promoting academic and administrative activities

Responsibly implementing policies approved by the Governing Body

Creating/Maintaining a gender-free atmosphere

Complying with the IQAC department and NAAC guidelines

Establishing a culture of research and innovation

Alertness to eradicate sexual harassment to all the members of the college

Ensuring the proper functioning of different bodies in the institution as well as maintaining discipline and grievance redressal mechanisms

Code of Conduct for Teachers

The college maintains the UGC’s Code of Ethics as the principal framework for teachers as guidelines, allowing them to practice and implement:

Behaving with academic integrity and professionalism, following all ethical manner

Delivering quality education while sticking to the syllabus timeframe as advised by the university/regulation body

Undergo proper training from time to time, engaging in research and publications

Developing integrity with students, treating them with fairness, dignity and respect

Strictly avoiding discrimination or harassment in any form within the institution

Participate and lead in the institutional developmental activities

Comply with the guidelines instructed by the principal according to the governing/statutory bodies like UGC

Code of Conduct for Non-Teaching Staff

Non-teaching staff comprises the rest of the members that support the overall functioning of the institution with:

Duties duly performed with respect to teachers and students with sincerity, honesty and efficiency

In charge of using and maintaining the college infrastructure

Preserving and respecting the confidentiality of the given institutional information

Restrict from engaging in other activities, trade or personal business during college working hours

Restraining from involvement in political or communal activities

Supporting the college management with anti-discrimination, anti-ragging and anti-harassment activities

Code of Conduct for Students

Students are the integral members of the institution. The activity of students reflects on the college’s reputation. Therefore, students are expected to follow a code of conduct to enhance their behaviour:

Good Manners and Behaviour
Each student must wear student Identity Card inside the college campus with his/her photograph affixed on it, duly signed by the authority.
Use of mobile phones is allowed in the campus, but students are not permitted to use mobile phones inside the classrooms, corridors, admin blocks or any place inside the college campus premises. Violation of this rule will result in confiscation of the phone. Confiscated phones will be returned at the end of the programme.
Use of helmets is mandatory for everyone who rides a two-wheeler. Driving licence is mandatory for two-wheelers/four-wheelers owned by students and vehicles should be parked at appropriate places.
Any kind of misuse of Internet, intranet or computer software, mobile etc. is strictly prohibited. Causing disfiguration or damage to the property of the Institute or belongings of faculty, staff members or students is strictly prohibited.
Ragging in any form is strictly prohibited. If any incident of ragging comes to the notice of the authority, the student concerned would be expelled from the Institution.
Students should refrain from participating in political or communal activities.
Students are solely responsible for their own personal belongings.
No meeting should be held in the campus without prior permission from the concerned authorities.
No donation should be collected from the students by any student without prior permission from the Head of the Institution.
Students are restricted from writing, scribbling or painting on the walls, desks etc. Causing disfiguration or damage to the property of the Institute or belongings of faculty members or students is strictly prohibited.
Littering is prohibited. Students are expected to keep the campus neat and clean.
Every student shall greet members of the staff on his/her first meeting of the day. When the faculty enters, all students should rise and remain standing until instructed to sit down. No student is allowed to leave the lecture hall without the faculty’s permission or until the class is dismissed. Students should not argue with faculty members and must maintain proper decorum inside the classroom and on campus.
The ID card should be shown to any member of the faculty or to College Officials if required. Students should not come to college without an identity card. If the original ID card is lost, a duplicate card must be obtained immediately from the office upon payment of the fine.
Students attending classes, meetings or other gatherings within the college are expected to be presentably dressed in accordance with approved etiquette.
The college expects all students to keep in mind the basic norms of modesty and decency with regard to dress. Student council representatives (two) will be responsible for ensuring the dress code is maintained in their class. The following dress code applies from Monday to Saturday — Boys: Formal pants, tucked-in half-sleeve shirts, leather brown or black belt, black or brown shoes with socks. Shirts should be buttoned properly. Proper haircut and proper face code is mandatory. Girls: Salwar/Churidhar Kameez with dupatta/shawl. Black cut shoes are mandatory. Leggings are not allowed.
Students are not to loiter about in the corridors or play games during class hours. Loitering, shouting, whistling and other such acts that cause nuisance on the premises are strictly prohibited. Strict silence should be maintained while moving from the classroom to the laboratory and back.
After class hours, no student is expected to remain on campus unless there is a function, programme, rehearsal or games practice, for which prior information is required. Outsiders are not to be encouraged to come to the college to meet students.
Students must cultivate the use of the Library. They are expected to spend their free time in the library or reading room where they can refer to books.

Rules Regarding Classes, Attendance and Absence

Class Hours
A warning bell will be given 5 minutes before the commencement of the day at 9.05 am and the second bell at 9.10 am for the commencement of class. A long bell is given at the end of the session at 3.30 pm.
Students should always be punctual to the class and refrain from leaving early unless prior permission has been granted. Students who wish to stay back after college hours should get prior permission from their HoDs.
Attendance
Attendance will be taken at the beginning of the hour. A student who is not in the class when attendance is taken will be marked absent.
Late coming to the classes will not be entertained and students will be marked absent for the classes for which they are late. If the reason is not valid, they have to stay back one hour in the library.
SMS notifications of daily attendance are sent to parents through the e-Campus Management System.
The students are eligible for condonation in attendance to Bharathiar University only once during their course of study. If the students lack attendance for more than one semester, they will not be permitted to appear for the University examinations.
Leave of Absence
Students must apply for leave through the e-Campus system, stating the reason and obtaining parent consent, and submit it to the class tutor for approval before taking leave. For one day, approval from the class tutor is sufficient; for two days, approval from both the class tutor and the HoD is mandatory; for three days or more, approval from the mentor, HoD and Principal is required.
In case of an emergency, students may leave the campus by submitting a leave request to the class tutor with parent consent through e-Campus, after which the gate pass will be generated automatically.
Students should come along with parents/local guardian when they take leave for more than 3 days, on the day of their return to the college.
A student who applies for long leave on grounds of illness must attach a medical certificate from a registered medical practitioner with his/her leave application form. The student should inform the HoD/Class Tutor on the day of their admission to hospital. In any case, the medical certificate must reach the college office within 5 days of the student’s return to classes. Medical certificates submitted later will not be accepted.
Students should not take leave during internal examinations. In case of emergency they should inform the HoD/Class Tutor over phone. If the leave is not valid and not acceptable, the HoD will impose severe action on the student and they will have to bring their parent for proper explanation.
Students officially participating in events outside the college and claiming attendance for those days should apply for on-duty through e-Campus and submit to the event coordinator/class tutor for approval before 3 days of participation.
Continued absence without leave intimation for more than 10 working days will render a student liable to have his/her name struck off from the Rolls of the College.
Grievance and Addressal

The institution maintains a clear framework for disciplinary regulation and grievance redressal to ensure fairness, accountability and a safe environment for all members:

Students should abstain from active participation in party or communal politics.
Ragging is a cognizable offence and those who indulge in it or encourage it will be handed over to the law as per G.O. rules and regulations. Criminal action will be initiated against student(s) found guilty of indulging in ragging inside and outside the college. In case any criminal case is registered against a student by law enforcing authorities, he/she must intimate the same within 24 hours to the Principal, failing which he/she is liable for disciplinary action leading to expulsion.
The Principal shall have full power to inflict the following punishments in the interest of the students or the institution: Fine, loss of attendance, loss of term certificate, suspension or expulsion.
Students should not indulge in any activity leading to the disruption of peace and discipline or dislocation of the normal functions or meetings.
All fees payable by students shall be paid only at the Bank Counter on the college campus. The bank will issue a receipt (Challan) for every payment. Students must preserve these fee receipts carefully until the end of the course.
Students who do not pay fees by the due dates shall pay a fine of Rs. 10 for each working day after the due date. Absence with or without leave is no grounds for exemption from this rule.
Names of students who have not paid the whole fees before the last day for payment (with fine) are liable to be struck off the rolls. Such students will be re-admitted only on payment of the entire amount of fees due with fine. They will also lose attendance from the date on which their names are struck off the rolls till the date of their re-admission.
Fees due to the college and/or hostels will not be suspended in anticipation of an award of scholarship from any source. Belated payment of any fees or dues will necessarily attract a fine unless prior exemption has been obtained.
Any student found violating any of the rules and regulations of the college, or found disturbing the peace in the campus or off-campus, will be liable for suspension by the head of the institution, who has the right to dismiss the student without any explanation or refund of fees and other charges remitted.
